I once stopped mid-paste with a customer's support email on my clipboard. It had an email address and the details of an order in it. As an indie developer, that's an ordinary evening.
I opened Activity in the Gemini app to turn saving off. On my work account, the options I expected weren't there.
Here's the short version: in most cases this isn't a bug and it isn't something you did wrong. The person who decides what you can change isn't you, it's your admin.
My first instinct is always to doubt my own clicks. This time I got to the answer faster by changing the order in which I doubted things.
First, decide which "history" you mean
Google documents two separate places for Gemini conversation history, and mixing them up sends you to the wrong settings screen.
| What you're looking at | Where it's set | Control on a work account |
|---|---|---|
| Conversations in the Gemini app (gemini.google.com and the mobile app) | Your own Settings & help → Activity | Described as managed by a Workspace admin |
| Gemini in Workspace (the side panel in Gmail, Docs and so on) | Admin console: Generative AI → Gemini for Workspace → conversation history and deletion | The admin decides whether users can delete and how long conversations are kept |
The admin-facing page I read says it covers the side-panel history and points to a separate topic for the app. So your symptom is probably one of these:
- The Activity screen doesn't show an off switch, or it can't be pressed.
- Deleting a conversation shows a message that an administrator has disabled the option. That message is documented for the side-panel setting.
Work through three layers
I go from what I can see to what I can't.
Layer one: write down what your own screen shows
On gemini.google.com, open Settings & help → Activity. The help page for personal accounts lists "Turn off" and "Turn off and delete activity", plus auto-delete choices of 3, 18 or 36 months, or never.
If those are missing or locked on a work account, copy the wording on screen exactly. Google's own page says you may be unable to change data retention settings or see the chat retention period, so a locked screen is expected behavior.
One more thing worth knowing: even when Activity is turned off, conversations are described as being kept in the account for up to 72 hours. Off doesn't mean nothing was stored.
I find it helps to note three small things while the screen is open: which account is signed in (the avatar at the top right gives it away), whether the page shows any "managed by your organization" wording, and whether the same Activity page looks different on a personal account in another browser profile. That last comparison tells you quickly whether the limit comes from the account or from the device.
Layer two: the admin console, which only your admin can see
For the side-panel history, the console lets an admin decide three things:
- Whether users may delete their own conversations
- The auto-delete period: 90, 540 or 1,080 days, or never
- Which org units or groups get which setting (a group's setting overrides its org unit's)
If a colleague can delete and you can't, a difference in scope like this may be why.
Layer three: Vault outranks everything you click
This is the part that's easy to miss. In June 2026 Google announced that Vault can apply retention rules and litigation holds to Gemini app conversations.
The key line is that Vault retention and holds take precedence over admin console settings, user deletion and Activity settings. If you delete a conversation or switch Activity off while a hold is active, the data disappears from your view but is retained, and Vault admins can still see it. There's no end-user setting for it. It covers the web and mobile Gemini app, not features inside other apps such as "Help me write" in Gmail.
That was my own misunderstanding. "Deleted" and "no longer stored" are different statements, and in an organization using Vault, the first doesn't promise the second.
What to do: send your admin three questions
Before I knew any of this, I spent far too long toggling things and refreshing the page. The results weren't good. Now I stop at the first locked screen and move on to a message, because that's the only step that can change the answer.
You can't change what you can't change, so I'd rather keep a short list of questions ready:
Subject: Question about Gemini app Activity settings
Hello,
I use the Gemini app with my work account. Could you tell me:
1. Is Gemini app Activity set so that users can't turn saving off?
2. What auto-delete period is configured for conversations?
3. Do any Vault retention rules or holds apply to Gemini app conversations?
I'd like to decide whether it's appropriate to enter text that contains customer details.Ask all three. With only the first two, the "hidden but still retained" case drops out of your decision.
If you run your own business and pay for Workspace under your own domain, you are the admin. In that case you can open the console and check the period and the deletion setting yourself.
While you wait: draw the line on what you type
A small habit helps here: keep the admin's reply (or the lack of one) in a note with the date. Policies change, and a month later you'll want to know what was true when you made the call.
Work doesn't stop while an admin replies, so I draw the line on input rather than on settings. I follow two rules:
- Replace names, email addresses and order numbers before pasting
- Until I know the answer, only ask Gemini for help with wording, not with the real message
Replacing details sounds tedious, but the skeleton of an inquiry is enough for translation. The specifics only matter at the final send.
I've written separately about keeping money and health topics out of history with temporary chats. Whether temporary chat is available on a work account and how it is stored may depend on your organization, so I'd put it in the same message to your admin. For the other side of the problem, see why a deleted chat can still shape answers through Memory.
If I can't change the setting, I change what I type first. I keep to that even in weeks when the reply is slow.
A good first step is to copy the exact wording on your Activity screen and send it to your admin together with the three questions above.
